Creating An Email Alias in Outlook

If your e-mail address reads yourname@hotmail.com or you@telus.com - you are branding the name of your Internet Service Provider. Why should you do that? Your ISP doesn't pay you for that advertising!

Quite likely you were not aware until now that you had a choice. Instead of advertising Hotmail, Telus, or Shaw, you can advertise and brand your own business and your own name. Here Globi will show you through this easy to follow tutorial, how to get setup.

Step 1

Open Outlook, and click on "Tools" then "E-mail Accounts..." as shown below:

In the next window, click on "View or change existing e-mail accounts"

Step 2

You should now see something similar to the window shown:

On this screen you will see your existing email account. Before continuing, click on the email account (in our example, "Kerio MailServer") then click the "Change" button. Click "More Settings" and change the value in the "Name" field to your main email address. This change will make things easier down the road.

Step 3

Back to the screen in Step 2, click on "Add" then select "POP3" and click "Next". Fill in the account details to match your main email address. One thing that will be different from your main email settings is the "Incoming mail server (POP3)". You should type in a dummy value such as "pop3" in this field. This will stop the email account from actually receiving any emails, which is what your main account is for. See below screenshot:

Next, click "More Settings ..."and under Mail Account type your alias, in this case, "sales@globi.ca" as seen below. Be sure to place the email address in the "Reply E-mail" field as well, as seen below.

Step 5

Next, click the "Outgoing Server" tab and select "My outgoing server (SMTP) requires authentication" checkbox, and enable the "Use same settings as me incoming mail server" option as seen below.

When you're done, click OK. You should see your new alias account in the list, example below:

Now we need to make sure you don't receive any errors from Outlook since it's only an alias account and we don't actually want it to collect emails. In Outlook, click on the little down-arrow on the "Send/Receive" button, then go to "Send/Receive Settings" and click "Define Send/Receive Groups" as shown below:

In the next window, select "All Accounts" from the box list and click "Edit" as seen below:

Now, you need to select your new alias ("sales@globi.ca") and make sure you have "Include the selected account in this group" checked, "Sent mail items" checked, and "Receive mail items" unchecked. Example below:

Now click "OK" and then "Close". You should be back to the main Outlook screen. Lets practice sending an email with your new alias.

Click "New" to write a new email. In the new window, click on the "Accounts" button as shown here:

Step 11

You'll see a list of your accounts, including your main account and your alias. If you want your recipient to see your alias, then select that address.

Step 12

Outlook will let you know that it's going to send your email using the alias.
